If your hotel has a Property Management System (PMS) that integrates with Ivy, you shouldn’t need to check guests in or out manually. We do not recommend manually checking guests in and out. as your PMS can interfere.
This function is useful for testing messaging with guests.
However, the option is there for any guests not included in your PMS who would like to text with Ivy.
Checking Guests In
Click on the 3 dot menu in the guest chat pane and select Check In New Guest.
Fill out the guest’s stay information in the pop-up dialogue box. You’ll want to include the guest’s name, mobile phone number, room number, and the dates and length of their stay. Then click ok
Checking Guests Out
Guests checked out in Ivy will be checked back in when your PMS and Ivy sync (approximately every 30 min). Do not use Ivy to check guests out.
If a guest no longer wants to receive messages They should be encouraged to text Ivy back "STOP"
If for some reason a guest needs to be temporarily checked out of Ivy:
Open the Chat Pane for the guest you wish to check out. Click on the 3 dots menu in the Guest Information Toolbar at the top right corner of the screen, and then click the check out button.
After clicking check out, confirm that you do want to check out the guest by clicking OK in the pop-up menu. The guest check-out should now be complete, which you can verify by looking in the “Checked Out” option in the Inbox Views dropdown menu.
