Mailing Lists - Caller Profiles -enables you to sort mailing lists utilizing the Prizm Cluster Code data that is gathered on each inbound call. In addition, you can further sort by city, states, campaign, call results, profiles and markets for any given date range you wish.
NOTE: You can utilize the “Multi Select Mode” if you have more than one item for any of the drop downs you wish to select. You also have the ability to set a max number of records that return.
Once your filters are set, simply click get data. You will be able to view Call Date/Time, Name, Mailing Address information, demographic profile, call results, phone number and agents that were associated with that call. To export this mailing list out, click on the blue “Export” button.
Marketing Tools > Mailing Lists > Guests
This enables you to sort mailing lists utilizing all stay data that is gathered from your property management system. You have the ability to sort the stay data by a desired data range for whatever date type you wish; the date reservation was made, check in date or check out date. In addition, you can filter by a particular state. *** Note: If you subscribe to our Marketing Suite, you will the ability to produce and export this list from there as well as add additional filter options.
Below that filter drop downs, there are check boxes that serve for additional filtering options:
- Multi Select Mode – gives you the ability to select more than one item from each of the respective drop down filter options above.
- Only with Email – this will return only guest leads that include an email address. This could come in handy if you are exporting emailing lists to import into a 3rd party marketing platform should you not be utilizing the Marketing Suite.
- Only with Mailing Address - this will return only guest leads that include a mailing address.
Once you have selected your desired filters, simply click “Get Data”. Once the data loads, you will be able to see guest’s name, mailing address, phone number, and email. To export this list out, click on the blue “Export” button.
Marketing Tools > Mailing Lists > Leads
This enables you to sort mailing lists utilizing the lead data that is gathered on each inbound call. You have a variety of options when it comes to filtering down, and building the desired mailing lists you wish to export out of the system. You have the ability to sort the lead data by a desired data range for whatever date type you wish; Contact Date, Check In Date or Check Out Date. In addition, you can sort by certain agents, reasons for guests’ stays, lead status, campaign, market, state, contact type (i.e. inbound call, email, chat etc.) as well as non-booking reason.
Below that filter drop downs, there are check boxes that serve for additional filtering options:
- Multi Select Mode – gives you the ability to select more than one item from each of the respective drop down filter options above.

- Hide Leads W/ Opt-Out Email – by selecting this option, you will exclude all leads where the agent has selected “OptOut” as the guest has requested the did not want to be marketed to. Revinate recommends always selecting this option whenever running lists to export out to ensure you are not marketing to these individuals. Note: If you are using our Marketing product, the “OptOut” carries over automatically which will prevent you from marketing to these individuals.
Once you have selected your desired filters, simply click “Get Data”. Once the data loads, you will be able to see guest’s name, mailing address, phone number, email as well as whether or not that lead had requested an “Opt Out”. To export this list out, click on the blue “Export” button.
Example:
Let’s say you recently dropped your minimum stay for Labor Day, and you were wanting to contact all guests interested in coming over Labor Day that did not book due to not meeting the minimum stay requirements. You can utilize this report to pull that information for you in a few clicks of the mouse. Change the start and end date to reflect Labor day dates, date field to “Check In Date”, select “Min. Stay Requirement” for “Non Booking Reason” and hit “Get Data”.
Marketing Tools > Mailing Lists > Owners
This enables you to sort mailing lists utilizing all owner data that is gathered from your property management system. Note: Depending on your property management system we may or may not be able to pull this information in. Please check with your Customer Success Manager to see if this would be possible. *** Note: If you subscribe to our Marketing Suite, you will the ability to produce and export this list from there as well as add additional filter options depending on your property management system.
Below the “Get Data” and “Export” buttons you will find a couple of filter options:
