Account Settings > ELM > Extra Fields
Extra Fields can be added to Reservation Sales Suite Lead forms. These Fields allow Reservations Agents to capture additional information on each lead call adding a level of customization to the lead form to fit your business needs. Capture information on special requests, room preferences, spa revenue, golf reservations, special occasions etc.
Much of the information captured in Extra Fields can also be captured in the notes section of a lead form. The value in adding Extra Fields to a lead form is that they can be tracked and reported on in the system.
There are several types of fields that can be added to the lead form including text entry boxes and check-boxes as shown in the image below.
To add an Extra Field to a Lead Form:
1. Navigate to Account Settings > ELM > Extra Fields
2. Click the green plus icon
3. Enter the Extra Field Label (what the field is called in the lead form)
4. Check Copy From Previous Lead if you wan this information to carry over from other leads.
5. Choose the type of information to be entered. this can be a date, dollar amount, check box etc.
6. Enter the display sequence. This is a number value. If you have multiple Extra Fields this is the order the fields will display. the smaller the number, the higher up it appears.
7. Click Save
Below is an explanation of the various settings on the ELM Extra Field Add screen:
Extra Field Label: What is entered in this field is what will display as the name/purpose of that field on the lead form.
Copy From Previous Lead: Check “Copy From Previous Lead” if you want this information to carry over from other leads.
Allow User To Only Enter: This gives you the ability to choose what type of extra field this is as well as what type of data will be entered to help keep data consistent.
Any Value: Open free form text box. This allows the user to enter any type of information they would like.
- Date: This would display as a calendar view where the user would select the date(s) desired.
- Number: This would restrict the user to only being able to enter numerical values.
- Money: This would restrict the user to only being able to enter monetary values.
- Check Box: This would be similar to a Boolean (True/False) type of extra field. By the user “checking the box” it would be true or leaving it “unchecked” would be false.
- Specified Values: This would display as an option list with pre-set data for the user to choose from.
Interface Data Mode: PMS Interface (Check with your Customer Success Manager to enable this)
Interface Field: PMS Interface (Check with your Customer Success Manager to enable this)
Display Sequence: Should you have multiple Extra Fields on your lead form, this would dictate which order this field displayed on the lead form. (i.e. Do you want this extra field to be displayed first, second, third etc.)
Reporting on Extra Fields
Once Extra fields are added they can be filtered in the ELM Leads Menu ( Leads > Leads > New Filter). These filters will appear under the With Nonzero In Extra field as shown below:
