RezForce leads are followed up on in the Enhanced Lead Management (ELM) portion of The Reservation Sales Suite.
On a daily basis (and throughout the day if RezForce takes your call overflow) review your RezForce leads. From the ELM Lead screen, once you select RezForce Follow-Up Leads, the report filters the last seven days. Select “RezForce Leads” from the “RezForce Call Result” drop-down and the “ Attention Required” leads. Identify those leads that you want your staff to follow-up on. Leads with Blue User icons are unassigned.
- From the ELM screen grid, hover over the “Blue User Icon”.
- Then left click on the “Blue User Icon”. Click the Assigned Agent dropdown and select the agent you wish to assign the lead to. Set the desired date and time for the reminder email to be sent to the agent. Lastly, click “Save”.
- Designate each lead for follow up using the below criteria:
- “Booked Leads” – these should be assigned to your agents that process the web bookings / check-in packages.
- “Hot Leads” - these should be assigned to your best follow up agents.
- All other leads including “Not Booked”, “Policy Issue”, “Website Issue”, “Availability Issue”, “General Inquiry”, etc. may or may not be assigned to a specific agent depending on the structure of your staff.
- After your agent receives their reminder email, they will select the lead hyperlink in the email which will automatically open up the lead in the Reservation Sales Suite.
- As the agent is following up with the potential guest, he/she will want to add any additional information to the lead form such as: Address, Email Address, additional Phone Numbers, Reason for Stay, Adults/Children, and Unit. Also, the agent will want to edit the Lead Status to e “Booked” or “Not Booked” or leave at “Follow Up” depending on the results of the call. Most importantly, the agent should leave good follow up Notes to describe what transpired on the phone call. Select Save Changes to save your changes to the lead form.
- Repeat the above steps at the end of each week to ensure that no leads are left in a follow up status from the past week.
