Credit Card Collection in HUB - Voice Only Method
Introduction
PCI DSS (Payment Card Industry Data Security Standards) is a set of requirements designed to ensure that all companies that process, store or transmit credit card information maintain a secure environment. HUB easily allows you to meet PCI standards through an easy-to-use system that is built in.
Do not write any PCI data down on paper. When you receive credit card or personal information make sure you are ready to input the information directly into a secure system like HUB, a lead form, PMS, or booking engine. When receiving credit card information at any time on a call, you will need to pause the call recording to ensure guest payment data is not captured in the audio file.
There are three methods of credit card retrieval that are available within HUB, and can be individually configured for your account. The methods are Voice Only, Digit Press Only, or Voice w/CVV Digit Press. Work with your Customer Success Manager to determine which method works best for your business. This article will detail the steps needed while utilizing the Voice Only method, which means that all guest payment information will be gathered as it likely is today, by asking the guest to provide their card information verbally.
Credit Card Retrieval
When you are ready to ask the guest for credit card information, you will need to pause the recording by taking the following steps:
- In HUB, when on a call, click on the "TAKE PAYMENT" button or the credit card button in the bottom right of the screen:
- By clicking on Take Payment, the recording is now paused and the credit card information will not be recorded during this time:
- Note: If you discuss policies with a guest, ensure to do so before or after clicking on Take Payment so that they are captured on the recording.
- You may now verbally request the credit card information from the guest. You can enter this information into HUB as a secure location to store it for the duration of the call, or you can also enter this directly into your PMS or booking engine as you do today. Whatever works best for your company will still meet PCI standards.
- If you will be entering Credit Card information into your PMS/booking engine directly, you will simply need to click Cancel to restart the recording once you have finished collecting payment information. It will be imperative to do so, so that the rest of your call is captured in the recording:
Note: If you will be using HUB to store Credit Card Information for the duration of the call, follow the steps below. If you will be entering your credit card information directly into your PMS/booking engine, please disregard the following:
- Once the information is entered into HUB, click on Complete. It is important to note that once you click Complete, the recording will restart and anything discussed after this point will be captured on the call. Ensure to only capture payment data while the recording is paused. If for any reason you need to cancel the process, simply click Cancel and the recording restarts.
- To easily transfer the guest payment information over to your PMS or booking engine, simply utilize the clipboard icons and the information will be copied and available to paste. You may also highlight the numbers and utilize Ctrl + C and Ctrl + V functionalities on your computer’s keyboard.
