Background:
This article provides instructions for generating a mailing list using Not Booked lead data. When generating mailings to past guests, lists generated from your Property Management System will be the most accurate source of data. One exception would be a desire to market to past guests based on campaign (Example: a targeted mailing to guests who booked based on a Flash Sale or a special event marketing campaign). In this instance, a targeted list generated our software would give you these details. There are multiple places from within the system where you can sort data and generate an Excel document. Regardless of the option you choose, it is strongly recommended that you scrub or sort for duplicates before mailing or sending to a 3rd party vendor for mailing to prevent duplicate contacts that could be costly. Please consult your IT experts for specific guidance on how to eliminate duplicate emails. You may have many different scenarios and strategies for sorting and using Not Booked data. The example below uses Mailing List Data found under Marketing Tools > Mailing Lists > Leads. This scenario uses Not Booked leads that were unable to book due to Room Type/Availability issues. After choosing your preferred sorting criteria, export a list by clicking the Report button. You will be presented with an Excel spreadsheet that will need to be “de-duped” and sorted for use in an email blast. For strategic recommendations on how to use your Not Booked data for an email blast designed to fill shoulder seasons or periods of time, please consult with your Customer Success Manager . Note: the instructions below will only work if you have an interface with your Property Management System. If you do not have an interface, please contact your Customer Success Manager to find out how to generate other types of mailing lists.
Generating Mailing Lists Using Not Booked Data - Process
First navigate to: Marketing Tools > Mailing Lists > Leads
1. Select Start Date & End Date
2. Change the Date Field to Check in Date Although these guests did not book, this was the time period they were interested in.
3. For Lead Status, select Not Booked. If you want to capture all possible leads, use the multi-select mode to check “In Process” and “Auto-Complete” lead options as well.
4. Uncheck the Only with Mailing Address box and choose Only With Email box.
5. Under Non-Booking Reasons, choose No Availability.
6. Click Get Data to see the results.
7. Click Export to generate Excel or Text file.
