This document offers a step-by-step guide to customizing the Basic Follow Up HTML Email Template with Header and Footer images only. To begin, request a Basic Follow Up HTML Email Template from your Customer Success Manager or from Revinate Education if one is not already in the account. You can check with the above path:
Once you select Templates the Email Templates page will load and you can see if a template has been added.
Once this basic HTML template has been added to your account, you may customize the text and the header and footer images. You can also insert micro-templates and pdf files into this basic HTML template before emailing it in the same way you can with all standard email templates.
1. Go to Google Images – type in YOUR PROPERTY name, geographic region or other Key Word
2. Click on Tools. Under Size, choose LARGE for high-resolution images (1000+) only. Click on the More Tools drop down and select Show Sizes to choose the highest resolution images at a glance
3. You are looking to capture 2 landscape - aligned images: one for a template HEADER, and one for a FOOTER. Choose an image that will show off your property at its best. If you are able to capture an image with a logo or property sign, consider using this for your HEADER. Your marketing department may also have images they prefer to use for customer communication that they can send to you. You can easily replace any images throughout the year with seasonal or special event images by repeating the process described here.
4. When you find the desired image, click it once to open.
5. Right-click and save the image to your desktop
6. Repeat the process for your second image.
7. After you have saved both images, open the first image in 'Paint"
8.The next steps will enable you to edit for size. The perfect size for this HTML template is 775 wide x 286 High
9.You will be presented with a ribbon of options across the top of the page, click the Home tab.
10.A panel of editing options will appear on the right. Click on Resize
11.A panel of Resize setting options will appear. You will be editing the horizontal pixel numbers.
12.Under Resize, change the Horizontal setting to 775 – do not worry about the height setting. You will adjust that during the next step using a cropping tool.
13.Click OK.
14.Click on the Select icon.
15. A boarder will appear around your image.
16.Cropping “points” will appear at all four corners and the top and bottom center of your image – Click and hold a top corner point and pull down. As you pull, note the change in dimensions in the Picture Dimensions field at the bottom of the cropping options panel. Crop until your image is perfectly 775w x 280:
17.Once your image is sized to contain what you want, click Crop. This is your final Image.
18.Click on Save As in the upper left corner and save your image to your desktop.
19.Repeat the process with your 2nd
20.Now log-in to your account (www.naviscrm.com) so you can import these 2 images into the Marketing Tools > Image Library.
21.Choose the green circle with the “+” to add a new image.
22.Then choose “browse” to find your image on your desktop. Select the image then choose Clip Art as your Document Type. Name the image Header or Footer (put a ** in front for easier finding) and Save.
23.Go into Account Settings > Templates > Email > Templates and open the basic HTML template
24. Delete the current header by selecting the picture then hit the “delete” keyboard button.
25. Header - Using the Insert File drop-down, click on the upper horizontal field to drop in the Header image – this will ensure that a small space will exist between the image and text field.
26.If you have edited your image to the exact specs, your image should align perfectly!
27.Delete the current footer by selecting the picture then hit the “delete” keyboard button.
Footer - Using the Insert File drop-down, click on the horizontal field just above the address and DNIS field to drop in the Footer image.
28.To complete your template, adjust the standard text to include:
a.Property name
b.Property address at the bottom of the template
c.Choose “Last Follow Up Agent” as the agent signature* as this will always display the name of the person actually in the lead sending the email.
*NOTE – using this template replaces the need for email signatures in Configuration -> Web Users
29.Recommended Font – Arial 2 is the recommended font. The Template builder uses Arial 2 as a default font. For consistency and ease of use, the html Macro template is also built in Arial 2 font. *Note- you must Select everything in the “Design” tab (using the CTL+A) then select the Remove Format button to scrub any unwanted formatting from the text.
30.Font Troubleshooting - Use of mixed fonts and sizes, bold and italics are discouraged as it can cause text to shift and appear inconsistent to the recipient. Looking at the text alone may not reveal an inconsistent template. When using fonts other than Arial, please review your html to ensure Arial is completely scrubbed from the template.
31.Micro-Templates - It is strongly advised that any new micro-templates using text copied from any source should first be placed into Note Pad, then copied and THEN pasted into the template This will help to ensure that your font size and type is consistent when viewed by the recipient.
32.The last step is to activate the social media links at the bottom of the template. For brand consistency, these should mirror what you already have on your website.
33.The basic html template includes image icons for a variety of social media communication. These images are embedded in the html code. Simply delete the ones you do not need. If your Marketing or IT department utilizes custom icons on your website, these images can be loaded into your Image Library and used.
34.Hyperlinking the social media image icons is easy. First, click on the image icon.
35.Then click on the hyperlink icon at the top of the template toolbar.
36.Navigate to get the social media link by clicking on the identical icons on your website. Copy link.
37.Paste the client social media URL in the hyperlink URL field. Be sure to check the box “Open In New Window” so that the customer is still able to view the contents of the email and the additional web page.
38.Once you hyperlink the social media icons, the appearance of the icons will change. In Internet Explorer, the icons will appear as though they have a purple or blue box around them.
39.Send out a test email using your templates to double check for errors in text, links, or appearance before sending to clients. It is recommended that agents using these templates also be given a brief introduction to the HTML format so that the look and feel of your templates and messaging remains constant.
