Reservation Defined Fields are fields in your PMS that the hotel team uses to track information on your guests upcoming stay. These fields are PMS dependent and the hotel may or may not be using them. In this article we will explain how you can segment on this information once the field is set up.
An example of a Reservation Defined Field is a field in your PMS on the Reservation screen that is labeled ‘SPECIALS’ once the reservations agent clicks on this field, they may have a dropdown of values to select from (ie Birthday, Champagne, Flowers, Pet, etc) to provide their colleagues additional information regarding this guests reservation or it may be a free form text field.
Revinate can give you access to this information via segmentation so that you can be even more targeted in your email marketing efforts. Allowing you to personalize your messaging and offers based on highly specific criteria ie, anyone who stayed with a pet in the room on a previous stay.

How to create a segment with Reservation Defined Fields:
Navigate to Guests & Segments, select Segments, and click the Create Guest Segment button.
Select the Field name (e.g. Special Requests) from the User Defined area in the drop-down menu. The User Defined area will be at the bottom of the list so scroll all the way down to the bottom of the drop down.
Select “is,” “is not,” or “is not blank.
In the field to the right, type in the value you wish to segment on. Suggested values will populate based on the values that are associated with the Field name. Select the values you wish to segment on.
Click Create to finalize your new segment.
Segments can be created based off of the individual values in a comma separated list of a Reservation Defined Field. This means you can create and segment on a value like “champagne” and return profiles who have the values “champagne” or “champagne, France” or “champagne, flowers”, etc. - saving you a lot of time finding people who bought champagne, rather than selecting every champagne value in the dropdown.
Please be aware the values are case-sensitive.
If the value you want to segment on is not a value that currently exists - but does or will exist in a comma separated list of values - simply type in the value you wish to segment on and hit Enter or click the Create option line item that appears underneath what you’ve typed.
As all values associated with these Reservation Defined Fields come directly from your PMS, any data inconsistencies that exist within your PMS data will be carried through to the values displayed in the Segment Builder. Please note that any Reservation Defined Fields that were ingested prior to Feb 12th, 2020 will not separate on commas within a list and will only match to exact matches. For any Reservation Defined Field data ingested on Feb 12th, 2020 or later, the above applies.
